How signing works for the people you send to
What signers see, how they sign, decline, or hand it to someone else.
The people you send to need no account and nothing to install. Signing works on a phone, tablet or computer. This page is a good one to share with them.
Opening the document
They open the link in the email. Depending on what you chose, they may first be asked to:
- Enter a code we email them (Confirm it is you).
- Enter the access code you gave them.
- Sign in with their WorkOfficially ID.
- Show photo ID and take a selfie (Verify my identity).
If the link opens inside an app such as Gmail or WhatsApp, a bar offers Open in Safari or Open in browser. The language can be changed at the top of the page: English, Español, Français, Deutsch, Português or Hindi.
Signing
- Press Review and sign. Their fields are highlighted; Next field jumps to the next one.
- For the signature, choose Draw, Type or Upload, or a saved signature, and press Use this signature. One signature fills every signature field, and dates fill themselves. Tick Save to my account for next time if they have an account.
- Press Finish and sign, tick I agree to sign electronically and press Sign now.
They then get a copy, and everyone gets the sealed PDF when the last person has signed.
Other choices for signers
- Decline, with a reason. You are told straight away.
- Pass to someone else: give the name, email and a note, then Pass it on. Useful when the wrong person was sent it.
- Sign on paper instead (if you allowed it): download, sign by hand, then upload a PDF or photos of the pages (up to 15 MB).
- Comments (if allowed): ask a question about the document before signing.
Help while reading
- Before you sign: what am I agreeing to?: a plain-English summary of money, dates, renewal, cancelling, penalties and anything unusual, with a Worth a closer look list. Only shown if you offered it. It is marked "Summarised by AI. Not legal advice."
- Read aloud: reads the document out using the device's own voice.
- Save for offline signing: keeps the document on the device for 7 days. They can sign with no signal and the signature is sent when they are back online.
Approvers and readers
Approvers see Review and approve: tick I approve this document, add a note if they like, and press Approve (or Decline). People who read and confirm tick I have read and understood this document and press Confirm.
Signing in person
If the signer is with you, open the document and press In person. Show them the QR code to scan with their phone, or open the link on your device and hand it over. The link works for 2 hours and skips the emailed code.
